Practice Support Manager - Minneapolis


Position is available for a Practice Support Manager to join our Information technology Department in Briggs' Minneapolis office.   

Position Objective:  Responsible for the design, implementation and overall coordination of the firm’s practice support systems; establishing long-range practice support plans; consulting with attorneys and clients on the effective utilization of computer-based technologies to increase efficiency and reduce costs to the firm and clients; developing solutions to meet user and client needs; and coordinating work assignments for internal and external resources.

Position Responsibilities:Develops and maintains an understanding of the technology requirements within the various practice areas.  Meets with attorneys and paralegals to review and prioritize their technology requirements/project needs and evaluate results.  

Works with Department and Section Heads and Marketing Department to develop and implement internal and external marketing of available practice support services and technology. (Plan, design, prepare and offer presentations both internally and to clients; ensure that attorneys and paralegals are aware of how technology can be of benefit,  how to apply it, and where to get access to the products and services available to them.)

Coordinates attorney and paralegal utilization of practice support technology.  Works with others in IT to coordinate network space needs, provide access to electronically produced documents, coordinate off-site access to practice support software and equipment, etc.

Coordinates and assists with discovery of electronic evidence according to specific project requirements.

Consults with and advises attorneys in the use of computer-based trial presentation technologies. Coordinates access to and utilization of trial technology systems.  Coordinates acquisition of technology to be used during trial, works with paralegals to facilitate exhibit imaging process, works with appropriate vendors, conducts training on operation of trial technology or coordinates hiring of vendors to operate trial technology during trial as appropriate.

Trains users in practice support software capabilities and functions.  Develops related training and software documentation.

Develops and designs practice support database and imaging systems.  Customizes database forms and reports as appropriate.  Develops customized data entry guidelines and procedures as necessary.

Coordinates or performs imports, conversions, exports and modifications of data provided to or from practice support vendors as required.

Oversees database, imaging and OCR maintenance and quality control reviews according to specific project requirements and the firm’s coding and imaging guidelines.

Coordinates practice support technology projects including offsite document coding, imaging, OCR, real time transcripts, out of town trial technology needs, etc.  

Coordinates occasional staffing for in-house practice support data entry projects.  Assists paralegals with delegation and prioritization of work for occasional data entry staff as appropriate.

Develops and maintains relationships with practice support vendors.  Manages practice support vendors which includes reviewing contracts, creating RFP’s, evaluating proposals, overseeing work in progress, reviewing work, etc.  Participates in  contract negotiations for products and services.

Participates in the research, testing and implementation of new or updated practice support software and technology.  Consults with attorneys and paralegals regarding anticipated practice support needs and recommends solutions.  Coordinates technology requirements with other IT staff.

Assists with troubleshooting and resolving hardware, software and database issues related to practice support tools.

Completes daily billing time records in an accurate and timely manner.

Assists with budget process.

Maintains system for tracking information and documentation relative to practice support services.

Acts as liaison between practice groups and IT Department.

Stays current on developments in practice support tools and technology.

Position Qualifications:Bachelor’s degree in legal or technology related field strongly desired. Knowledge of paralegal responsibilities and legal fundamentals at a level normally acquired through completion of a paralegal certificate or equivalent experience.

Minimum of 5 years experience working with legal technologies, including at least two years in a management or advisory capacity.

Experience working in a professional services environment required; law firm experience  preferred.

Project management experience and a thorough understanding of best practices for document collection, database setup and document review and knowledge of the processes underlying litigation matters (electronic discovery, document productions, large scale printing, document repositories and depositions).

Strong presentation and communication skills, both written and verbal.  Prior experience educating lawyers and paralegals on selected software and technical issues in clear and easy to understand language.

Knowledge of imaging, scanning, OCR, electronic data production, and database load files.

Ability to recognize and resolve data entry errors, and to analyze work-flow and project requirements in order to help prioritize and delegate work. Experience in managing coding and scanning projects.

Ability to exercise independent judgment under broad parameters as determined by attorneys.

Strong analytical and troubleshooting skills.

Ability to work in dependently or as part of a team.

Ability to work in a fast-paced environment under strict deadlines and in high-pressure situations.

Technical Skill Requirements:

Microsoft Applications (Word, Outlook, Excel and Access required)

Summation administration and support experience required (Additional practice support or relational database experience a plus).

Trial Director or Sanction (Trial presentation software); CaseMap, NoteMap and TimeMap knowledge preferred.

Experience with various data storage formats and effective methods for harvesting information from these sources for production.
